One of the most recognizable features of the Scrum approach is the use of boards for project management. Since our team is distributed (some people come to the office, and some work from home), we use a virtual online board of our own design. Here are some mechanics that we use most often.
Planning/Bottleneck Tree
At the beginning of each quarter, we meet as a bahamas telegram Scrum team to outline the goals for each area and the specific tasks that will help us achieve them. After that, we identify bottlenecks that could prevent us from doing so and come up with ideas on how to expand them.
Mechanics :
One target per team is taken per meeting.
A timer is set for 10-15 minutes, during which team members write down the obstacles that prevent their department from achieving its goal.
After the time has elapsed, each participant is given three minutes to briefly talk about the problems.
A timer is set for 15 minutes, during which team members offer solutions to the identified problems.
The proposed solutions are discussed and processed into specific tasks.
To better describe bottlenecks, we recommend that you familiarize yourself with Goldratt's Theory of Constraints .
This mechanics for identifying bottlenecks can be applied in a wide variety of situations.
Brainstorming
A mid-quarter check-in is held to track progress on goals. If any of them are lagging behind, the team gathers for a brainstorming session.
Mechanics :
The problem is identified.
Each team member puts their ideas for solving the problem on stickers.
Discussion and voting are held: each participant gives a brief explanation of their idea, and the rest of the team votes on whether to take it into work or not. Each participant has three votes, which they can cast for any of the ideas they like.
Retrospective
At the end of the quarter, a retrospective is held in which team members answer the following questions in sequence:
What was good and useful about the team work format?
(Points noted by participants are carried over to the next quarter).
What was the obstacle in the team's work format?
(Team members identify bottlenecks that hindered them during the quarter).
What can we improve in the team format?
(Here, participants look at the problems from the previous point and propose solutions that will help avoid them in the next quarter).
