A DAM system can be provided as a central media management system for a company to store and manage all digital media files, such as images, films, audio files or documents. It enables organization, research, editing and publishing in connected third-party systems such as a PIM, ERP, PLM, CRM or CMS system or even a social media platform.
The introduction of a DAM system brings a variety of benefits to the company, which I would like to explain in more detail in this blog post. I will only list the most important advantages here to give you an overview.
Employees in a company often store the media files they regularly need in a decentralized manner on their PCs and laptops or on a variety of platforms, applications and server-based file systems in an area provided for them. Since many departments do this, it can easily happen that the files are stored multiple times on the server. This is referred to as duplicates.
A practical example: A customer once showed me his cupboard full of ordered nepal consumer email list image CD-ROMs. Many of the CDs had been ordered multiple times by different departments, unaware that another department had already ordered the CD and the images were already on the file server. Of course, everyone who ordered the CD saved the data again on the file server in their own company area.
In addition to the storage space costs, the example also included procurement costs and the time required to process the order and delivery, which could have been used more sensibly elsewhere. These are called opportunity costs. These are costs that arose because you had to deal with unnecessary tasks.
Central data storage
One of the most important reasons for implementing a DAM system is centralized data storage. Files are located in one system instead of in different storage locations, which clearly defines where a company's current media files are stored. DAM systems help to avoid duplicate assets, which means that DAM solutions help companies clean up their files and thus make the data inventory of higher quality.
By introducing a DAM system, research times are reduced because the search is carried out using qualified keywords with metadata about the assets instead of using the file name in a directory structure on the file server. In a survey, half of all marketing employees surveyed said they use Google Image Search to find their own company logo because they do not use a DAM system in the company.
The time saved can be used more productively
