5W2H: the tool that will transform your planning

Post by seonajmulislam00 »

5W2H: This strange acronym is a checklist of specific questions that must be answered to ensure the effectiveness of a project. Everyone involved in the project must help answer these questions clearly and efficiently, as they serve to eliminate any doubts that may arise throughout the process.

5W2H is based on the lead in newspapers and magazines, that first paragraph in which you can get the main information about the news and, if interested, read the rest of the article for more details.

With these seven questions in hand, the execution of your project will be clearer and more objective, making the activity or project much easier to execute and putting the entire team on the same level of understanding of the project.

Read on to understand each of these questions and the benefits of adopting this tool to ensure realistic and complete planning .

Inside each letter
The basis of the 5W2H methodology are seven essential questions, in English:

W hat? – What?
This is where the main focus of the project comes in, and it should be italy phone number lead described concisely, clearly and without fuss. To illustrate all the steps, let’s consider a company that wants to implement an internal sustainability plan. So, in the first question of 5W2H, the answer could be: “Reduce waste by raising employee sustainability awareness”.

Why ? – Why?
This step should consider the motivations for carrying out the action, that is, the fuel needed to execute the project. In the case of sustainability, “High water and energy costs” or “Collaborating for a healthier planet” could be motivations for why.

W here? – Where will it be done?
Identifying where the action will take place is also an important step. The project can be developed at points of sale, on social media, within the company itself or in specific locations. In our example, the change would have to happen within the company itself, in all areas.

W hen? – When will it be done?
An action plan needs to have a well-defined beginning and end. If the project is large, it is best to establish a schedule of tasks and deadlines for completing each stage. Being sustainable is a long-term project, so we could establish deadlines such as: “Reduce the amount of water used in two months” or “Reduce 5% of energy used each month for the next six months”.

Who ? – Who will do it?
Who will be involved in the process? In this step of 5W2H, you can list each specific person and their role in the project, or select the teams that will be involved. In the example, all employees will be asked to participate in the task force to save energy and water.

How ? – How will it be done?
This is the focus of planning and one of the most important steps. This question must be answered with ideas, creativity, analysis and research. It is important to specify how each step will be carried out and what tools will be needed to put the entire plan into practice. In our sustainability project, a great “how” would be “Through lectures, courses and dynamics to raise employee awareness”.

How much? – How much will it cost?
Establishing the cost of the project, even if it is a forecast, is crucial to the success of the action. Establishing possible alternatives to financial problems can take your action plan to a new level. In a sustainability project, it may be necessary to replace faucets with more economical options, for example, or to change the light bulbs to LED. All of this must be budgeted before starting the work.
